Game Master Guidelines

The following Guidelines must be read and agreed to by ANY Game Master that will be running an event at Southern Exposure II. If you have submitted a game proposal to Southern Exposure II, it is assumed that you have read and agree to these guidelines.
  • Function Space and Scheduling - Double Exposure provides you with space and time to run your game. We will work with you as much as we can to ensure that you have everything you need and that your game is running at an acceptable time. The earlier you get your proposal in to us, the more likely it is that you will get the time slot you want.

  • Clean-Up - It is your responsibility to ensure that whatever space you use for your game is in the same state it was when you started using it. This includes garbage, linen, anything written on the dry-erase boards, etc.

  • Special Needs - If you have special needs for your game, and you give us advance notice, wešll try to work with you to make things work out.

  • Free Membership - Double Exposure will give you one free Complete Membership per 96 man-hours of planned GM/Director time. Note that we are trusting you to be honest in your appraisal of the number of players your game can handle. A man-hour is defined as entertaining one player for one hour. So a 4-hour game which is planned for a maximum of 8 players will count as 32 man-hours towards your free Membership. If you have multiple GMs working with you, we will negotiate the number of players who will actually be entertained by your game. The more often you run your game, the more generous we will be.

  • Gamemaster Benefits - Although Game Masters are not paid by Double Exposure, and individual games are not allowed to charge any additional fee for their game, Double Exposure has a reputation for taking care of its Game Masters better than any other convention management team in the world. You will receive a Complete GM Membership for Southern Exposure II, enabling you to participate in any other part of Southern Exposure II all convention long. In addition, as it is a GM badge, you are entitled to eat full meals in our Staff Suite all convention long. The Double Exposure Hospitality Staff even delivers food directly to GMs when we know they are stuck at their games and cannot visit the Staff Suite.

  • Hotel Rooms and Travel - It is the responsibility of GMs to arrange and pay for their own travel and lodging for the event. In some circumstances, we might deem it appropriate to offer you and your group a free room for the convention as well as free Memberships. This will be negotiated on a case-by-case basis.

  • Advertising - All games accepted at Southern Exposure II will receive promotion and advertising from Double Exposure in numerous forms. We will do our best to advertise your game(s), and in turn, we expect you to do your best to adverstise your game AND Southern Exposure II. All information you give us pertaining to your group and the game(s) you will be running will be used in advertising the convention.

  • Changes to the game - In a circumstance where you need to make a mid-course change in the game that makes the game substantially different from the proposal, we need to talk about things like that, though we can usually work something out. By substantially different, we mean the game fits the basic genre, number of people, and description on your bid.

  • Quality of the Game - We assume youšll run a reasonable quality event, based on the description in the proposal form. You should provide whatever materials are appropriate or promised.

  • Southern Exposure II Promotional Statement - Please include this statement on all game flyers and other advertisements, in type large enough to be read easily:

  • Age Ratings - Double Exposure rates all of its games for suitability of our younger audience. Please try and give us an accurate rating on your game proposal. We reserve the right to revise your rating upward (we will never make you take children, but we may decide that we cannot allow children to play your event).

  • Sign Ups - In order to be fair to our paying members, we must sign people up for games in the order that they register and pay for the convention. If you fill your game with people who haven't signed up, and paying members can't get in, while people walking on at the convention are getting in, that creates a real problem for us which we hope you can appreciate! You may discuss anything you want with players, and have them fill out any forms you want, but please understand that you must make slots in your game available to players first on the basis of sign ups for the convention, and that they are not guaranteed to be "in" until they are registered members of Southern Exposure II.

  • Drops and Cancellations - We understand that accidents and catastrophes happen. We expect Game Masters to make a good faith effort to produce a game, and if a game has to withdraw in good faith, and discusses withdrawing with us, we usually can arrive at a very amicable conclusion. However, it is the nightmare of every convention to have a heavily-registered, popular game drop on 48 hours notice. Needless to say, we are trusting you to show up at the convention and to run your game. If you do not, it is doubtful you will ever be invited back to any future Double Exposure event. Assuming a good faith effort has been made to run the game but players just do not register for it, we do NOT revoke GM priveleges, and your free membership is still honored with the attitude of "better luck next time".

  • Damage - Property damage caused by GM negligence will be the responsibility of the individual GM or group. Failure to correct the problem through good-faith methods will result in a serious black mark on you and your team for future Double Exposure events.

  • Good Faith - GMs are expected to make a good faith effort to work within these policies. In recognition of the possibility of catastrophic events (fire, death, etc.) Double Exposure, Inc. and the Gamemasters agree to hold each other legally blameless for failure to deliver the agreed upon terms in the instance of such events. Note ­ a computer crash is NOT a natural disaster. Make backups early and often!
